Getting Ready for MyTime

NIU is replacing paper and PDF time-reporting processes with MyTime, a new online timekeeping system. Beginning March 1, 2027, employees will use MyTime to record time and report time off electronically.

MyTime also brings State Officials and Employees Ethics Act (SOEEA) reporting into the same system used for time and leave reporting, eliminating a separate reporting process for affected employees.

Questions? Email payroll@niu.edu, contact your supervisor or attend a training session or drop-in support opportunity.

Why Is NIU Making This Change?

MyTime replaces paper- and PDF-based processes with a streamlined online workflow. Employees will record time and time off in one system, supervisors will approve records electronically and Payroll will receive information directly from MyTime. This reduces paperwork, eliminates duplicate processes and simplifies record submission and approval.

Jan. to Feb. 2027: Training Period

Role-based training sessions for employees, supervisors and faculty, plus drop-in support opportunities. February 2027 is the final reporting period using paper and PDF forms.

March 2027: System Goes Live

Employees begin using MyTime to record time and time off.

What's Changing?

  • Record time electronically instead of on paper or PDF timesheets.
  • Report time off in MyTime instead of on benefit usage forms.
  • Submit records for online supervisor approval.
  • Complete SOEEA reporting in MyTime.
  • Eliminate paper and PDF submissions to Payroll.

What's Staying the Same?

  • Pay dates
  • Pay periods
  • Overtime rules
  • Holiday pay rules
  • Contract provisions and bargaining agreement requirements
  • Supervisor review and approval responsibilities
  • NIU login credentials (no new username or password)

The change affects how time is reported and approved, not how employees are paid.

SOEEA Reporting Changes

  • Beginning March 1, 2027, SOEEA reporting will be completed in MyTime.
  • Employees who currently complete SOEEA reporting will complete it in MyTime instead of a separate reporting system.
  • Faculty will also begin completing SOEEA reporting in MyTime.

What This Means For You

Hourly employees will record time and leave time electronically using the method assigned by their department: the web, the mobile app or a time clock (using their OneCard). MyTime will build timesheets automatically and replace paper time-reporting processes.

Salaried employees will report time off and complete applicable SOEEA reporting in MyTime instead of using separate forms and reporting tools.

Faculty will begin reporting leave time and completing SOEEA reporting in MyTime starting March 1. Faculty will receive training and guidance on new SOEEA reporting requirements and MyTime processes. This change does not affect appointments, workload expectations or compensation.

Supervisors will review, approve and, when necessary, return employee submissions for revision directly within MyTime.

Student employees will also transition to MyTime. Additional information will be shared with student employees and supervisors as implementation details are finalized.
