Purpose

This record series consists of the academic search committee files maintained by the Foreign Language Residence Program.  The files include candidate's vitae, affirmative action data, travel vouchers for candidates, and related correspondence.

Procedure

Retain in office for five (5) years after termination of position vacancy, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

Fall Program Evaluations

This record series consists of the fall program evaluations maintained by the Foreign Language Residence Program.  These evaluations consist of information generated from survey questionnaires conducted by the Office of Housing.  These evaluations are primarily used as a basis for adjusting the program.

Fiscal Administration Files

This record series consists of the fiscal administration files maintained by the Foreign Language Residence Program.  The files include:  GAS report billings, copies of miscellaneous paid billings, budget work papers, and invoice vouchers.  Original fiscal information is retained with the University's Office of Business Services.

Retain in office for three (3) years, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

Housing Assignment Files

The files contain personnel information for all administrative staff and student workers including vitae, copies of grades, student worker authorizations, staff applications and contracts, weekly activity reports, and related correspondence.  Original personnel files are maintained with the University's Office of Personnel.

Procedure

Retain in the office for five (5) years after separation from employment, then dispose of.

Residence Program Participant Files

Student Grade and Schedule Files

Tuition Waiver Files
