Civil Service Personnel Files

Purpose

The records include job descriptions; job evaluations; hiring forms; and related correspondence.  Original civil service files are maintained by the University's Office of Personnel.

Procedure

Retain in the office for five (5) years after separation from employment, then dispose of providing all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

Fiscal Administration Files

The records include purchase orders; invoice vouchers; billings; and related correspondence.  Originals are maintained by the University's Office of Purchasing and Accounts Receivable.

Procedure

Retain in office for three (3) years, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

General Correspondence Files

Purpose

This record series consists of the general correspondence files (i.e., student inquires) maintained by the Office of University Resources for Women.  This office coordinates and integrates university programming and services for women, especially those who are returning to higher education after an interruption of their previous studies.

Procedure

Retain in office for three (3) years, then dispose of all correspondence no longer possessing any administrative value.

Graduate Assistant Files
