Program Participant Listings

Purpose

This record series consists of listings of all students participating in programs administered by the Office of Semester/Academic Year Programs each term.  These listings are maintained solely for administrative use.

Procedure

Retain in office for five (5) years or until expiration of administrative value, whichever is longer, then dispose of.

Student Evaluations of Study Programs

Purpose

This record series consists of student evaluations of overseas study programs run by the University.  These evaluations show both the attributes of the program and areas that students feel the programs could be improved.

Procedure

Retain in office for five (5) years, then dispose of provided no litigation is pending or anticipated.

Purpose

Forms/documents found in a student file are:  program applications; student evaluations; language competency forms; internship essays; signed student agreements; Recommendation for Study Abroad forms; admission applications and housing information forms for foreign schools; Consent and Release forms; health statements; financial aids information; and passport information forms. The official record of credit received, and grades earned is maintained permanently by the Office of Registration and Records.  This record series is currently maintained on an ongoing basis.

Procedure

Retain hard copy in office until student's completion of program, then microfilm.  Upon successful completion of microfilming process, dispose of all hard copies.  All microforms are to be retained in office for twenty-five (25) years, then disposed of provided no litigation is pending or anticipated.
