Purpose:

This record series consists of the general administrative files maintained by the Development Office.  The records include legislative audit information reports, print requests, NIU associate’s correspondence and program cards, and Palmer Property files (e.g., acquisition payment proposals, paid bills and correspondence).

Procedure:

Retain in office for three (3) years, then dispose of provided all administrative value has expired and all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

Foundation Accounts File

Purpose:

This file is used for documentation of donations to 250 unrestricted accounts, restricted accounts, and endowments administered by the Office for the NIU Foundation.  The file is principally composed of donation acknowledgement letters, copies of receipts from donations and scholarship check request forms.

Procedure:

Retain in office for six (6) years, or until expiration of administrative value, whichever is longer, then transfer to the University Archives for permanent retention.
