Purpose:

This record series consists of incoming and outgoing correspondence between the Department of Corporate Relations, other university departments and companies or corporations.  The files are used as a resource base for general inquiries within the University.  Contents in the record series include both form letters and office memos.  The Department of Corporate Relations retains both original and duplicate copies.  Distribution of the record series is directed to designated departments of the University.

Procedure:

Retain in office for three (3) years, then with the assistance of the University Archives staff, review the series and transfer any documents of archival value to the University Archives for permanent retention and dispose of extraneous materials.

Fiscal and Budgetary Records

Purpose:

Contents in the files include budgetary work sheets, bills, invoices and utility statements.  The originals are maintained by the Accounting Department and are scheduled for disposition under item #210.15.

Procedure:

Retain in office for three (3) years, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

Ledgers - Budget Items

Purpose:

These ledgers contain the accounts for Corporate Relations, Illinois Resource Network, Public Outreach, and Corporate Marketing. Record series entries include date of entry, item description, reference data, amount of line item, expenditure, current balance, title page, and year.

Procedure:

Retain in office for six (6) years, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.
