Purpose

This record series consists of various documents which include incoming and outgoing correspondence between the Community College Department, other university departments, and other individuals or groups. Contents in the record series include letters, memos, notes, request for materials, and rough drafts.

Procedure

Retain in office for three (3) years, or until administrative value has expired, whichever is longer, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.

Purpose

This record series consists of structural outlines and curriculum guides for specific course offerings within the Community College Department.  The documents are used for course articulation only. Contents in the record series include subject matter topics, requirements of the course, prerequisites of the course, and the descriptions of material and calendars.

Procedure

Retain in office until replaced by new outline, then dispose of.

Fiscal and Budget Records

Purpose

This record series consists of financial documents which detail the accounting operations within the Community College Department. Contents in the record series include purchase orders, monthly financial reports, general accounting system (GAS) reports, budgetary records and inventory sheets.  The originals are filed with the Accounting Department.

Procedure

Retain in office for three (3) years, then dispose of provided all audits have been completed under the supervision of the Auditor General, if necessary, and no litigation is pending or anticipated.
