Learning Space Teams

Many departments across the Northern Illinois University campus work to support the design and maintenance of learning spaces. To support synergy and collaboration in reducing barriers that can impede teaching and learning, several Learning Spaces teams were established.

The Learning Spaces coordination team focuses on planning, designing, and prioritizing resources to improve the quality of learning spaces and enhance the student learning experience, including the scheduling, use, renovation, and creation of learning spaces on campus. Learning spaces include areas where learning takes place now, such as classrooms, laboratories, study areas, computer clusters, and spaces into which learning may extend, such as lounge areas and hallways. The committee considers all aspects of the space, including furniture, flooring, room layout, technology, and more. The goal is always to optimize the learning space and student success while reducing the campus footprint.

Duties

  • Meet on a regular, scheduled basis
  • In addition to reviewing the project list provided by the Learning Spaces Shared Leadership Team, solicit proposals and feedback for renovation, repurposing, and repair of learning spaces.
    • Request proposals from Deans and other relevant units
    • Implement protocols/guidelines established by the Learning Spaces Shared Leadership Team
  • Review and prioritize renovations and reclassification of space
  • Identify larger aspirational learning space redesign projects, with feedback from the Learning Spaces Shared Leadership Team that may be shared with the NIU Foundation.
  • Formulate standards for usage of learning spaces, including target hours of use per week and seat fill.
  • Create design manual for learning spaces
  • Review learning space utilization.
  • Seek input from the Learning Spaces Shared Leadership Team.
  • Execute the plan(s) for new or renovated space, including a communication plan, stakeholder feedback, and resource allocation.

The Learning Spaces Shared Leadership Team provides input and feedback to the Coordination Team concerning policies, goals, and prioritization for learning spaces on campus.

Duties

  • Meet quarterly.
  • Establish protocols for requests related to the renovation, use, and repurposing of learning spaces.
  • Set long-term goals and priorities for the configuration, use, and renovation of learning spaces.
  • Regularly solicit input from governance groups on campus.
  • Create and maintain a proposed annual prioritized list of maintenance and scheduled upgrade ‘projects’ with updated feedback from the Learning Spaces coordination team. This list should include evaluating rooms planned for the technology refresh (5-year cycle) and other maintenance needs and upgrade opportunities (paint, lighting, flooring, furniture, and other modest construction projects) along with the estimated project costs per room.
  • Respond to faculty/student requests and actionable insights from the Annual Learning Spaces Satisfaction Survey (conducted by the Learning Spaces Coordination Team) for technology, facility, or furniture upgrades.
  • Make recommendations to the Coordination Team for updates to the Learning Spaces Design Guide.
  • Provide feedback during the design phase of construction projects, including new learning spaces to ensure standardization.

Develop a shared vision and strategy for learning spaces technology to support effective instruction. Provide input and recommendations to the Learning Spaces Shared Leadership Team on new learning spaces and updates to existing learning spaces.

Duties

  • At a minimum, meet quarterly with additional meetings scheduled at critical times during the academic year.
  • Research trends in learning space technology
  • Develop standards for technology in the learning spaces
  • Develop maintenance and replacement plan for equipment
  • Develop sample classroom spaces for testing and training purposes. These would be in rooms not scheduled for classes.
  • Coordinate purchase of non-specialized technology for learning spaces and consult on selection/purchase of specialized technology to ensure integration with existing systems.
  • Move non-specialized equipment to a single inventory sector so that age and status of equipment can be easily monitored.
  • Review tech specs outlined in the guide.
