Technical Reports

Most awards require submission of a final report of work accomplished during the period of performance. Such reports range from a summary and list of publications to a complete, exhaustive compilation of the project and its results.

The PI is responsible for the submission of all technical reports required under the terms of an award, as well as other agreed upon deliverables. The PI should clearly mark and identify “as confidential or proprietary” any information in a report or any deliverable submitted to a sponsor that should be treated as confidential or proprietary.

Failure on the part of the PI to deliver any required technical reports or deliverables to the sponsor in a timely matter may affect the collection of funds for the project and future funding from that sponsor to the University.

Some sponsors will require that the Authorized Organizational Representative (AOR) sign the report confirming the information provided follows award terms and conditions. The AOR may be referred to as the Signing Official. When AOR signature is required, SPA will need to sign the report and be involved with review and/or submission of it. This may include signing a report document (e.g., in a Word or pdf form) or electronically approving a report in an agency electronic research administration (eRA) system (e.g., NIH eRA Commons).

Final Reports Requiring AOR Signature or Submission

At least ten (10) business days before the sponsor deadline, email your report or notify SPA that you have granted access to the completed report in the sponsor system via email to asosp@niu.edu with the Subject Line: “SPA submission required for final report” and include the following information:

  • SPA grant or InfoEd number
  • Report due date
  • Sponsor eRA system in which the report must be submitted
  • Contact person if the PI will be unavailable for questions. If possible, the person should be able to answer budget and programmatic questions.

Upon review, SPA will either submit the final report or return it to the PI for submission to the sponsor, depending on sponsor requirements.

Final Reports Not Requiring AOR Signature or Submission

If the sponsor does not require submission or signature by the AOR, SPA does not require a copy of the final technical report but does request a transmittal letter or dated face page of the report to document its submission. Submit your submission confirmation to asosp@niu.edu. In the subject line please indicate “Confirmation of final report submission” and include the SPA grant or InfoEd number.
