Below are the review steps in Interfolio after candidate submission for the 2025-2026 cycle.

Administrative Review

NIU Administration Support in the Office of the Provost has access to review the candidate’s submitted packet and to check for completeness before sending on to Department Review.

Department Review

During this first year of Interfolio implementation, the Case Manager is to complete the required applicant Cover Sheet form at this step.

The Department Chair / School Director also has access to the candidate packet at this step and is able to request the external reviewer letters.

At this step the members of the Department Personnel Committee (DPC) also have access to review the candidate packet and external reviewer letters. After deliberation and vote, the DPC Chair submits on behalf of the DPC the required DPC Overall Recommendation as well as submit the required DPC Vote Tally Form.

Department Chair / School Director Review

Part I information was provided by the candidate. At this step the Department Chair / School Director in consultation with the Department Personnel Committee is to complete and upload the required Department Chair (Part II) Form, submit the Department Chair Vote Form, as well as notify the candidate of unit-level recommendations after a decision has been reached. The Chair/Director uploads a copy of the required department-level notification that was sent to the candidate.

College Council Review

At this step the members of the College Council have access to review the candidate packet, external reviewer letters, and overall department-level recommendations from the previous level of review. After deliberation and vote, the College Council Chair then submits the required College Council Vote Tally Form.

Dean Review

The Dean votes using the required voting form. The Dean or designee also uploads a copy of the required college-level notification that was sent to the candidate as well as a copy of the Dean Memo submitted to the Provost.

Faculty Senate Personnel Committee Review

The Faculty Senate Personnel Committee (FSPC) reviews the candidate cases and deliberates. The Faculty Senate Personnel Committee Summary Form is submitted by the FSPC Chair or designee.

Provost Review

Provost Summary Form is completed and the university-level notification letter sent to candidate after Board of Trustees vote is uploaded.
