The FY2024 Benefit Choice period will run from May 1 through May 31, 2023, with benefit elections effective July 1, 2023. Employees are encouraged to visit the State of Illinois MyBenefits website and review the FY24 Benefit Choice Booklet for detailed information. The NIU HRS website also has been updated as a resource for employees.

Fiscal Year 2024 Purchase Requisitions now available.
Purchase requisitions (PR) may now be submitted for FY 2024. Departments are encouraged to submit FY 2024 requisitions as soon as practicable to ensure purchase orders/contracts are in place prior to start of services or deliveries.
Please note that FY 2023 purchase orders (PO) will need to be rolled forward for any items not received by June 30, 2023. If a FY 2023 PO is still open, please complete a change order to zero out the available fund balance and then roll forward the PO to FY 2024. This helps to ensure invoices will be processed on the correct PO.
If a FY23 PR is needed to take advantage of current pricing for goods that will not be received by June 30, 2023, please consult with Procurement Services for approval. If approved, use account code 253200. You may then roll forward the PO to FY2024 using an appropriate expense account. Please see tips below to facilitate timely processing of purchase requisitions:
- List payment terms/dates in the header comments of PR. Do not list in the funding line description.
- Include the word “Change” or “Rollover” in the requisition name when submitting a change to an existing PO. Also include any details for the change in the header comments.
- Funding line description should include specific details of merchandise/service and dates of service. For example, FY 2024 Open Order Environmental services for Lowden Hall for the period July 1, 203 to June 30, 2024.
- Only mark a PR as a “Net Check” if paying by contract or an independent contractor work statement for which no invoice will be provided to the university, or if deposit or scheduled payment terms are required.

Policy Library Update – New Policy A new policy is open to review and comment for a 30-day period. This provides the NIU community the opportunity to consider and respond to the revised policies before they take effect. The new policy is:

To submit a comment, go to our policy library website. The new policy will appear at the center of the screen. Click on “Comment on New/Renew Policies.” You’ll be able to review the policy and provide your comments. All comments are due by Friday, May 19. All-star educational lineup at the 2023 Online Teaching Symposium.
At this year’s Online Teaching Symposium, student rights advocate and Georgia State University Alumna Kiara Williams moderates a student panel about incorporating student voices into the online learning environment. Hosted at the NIU Naperville Regional Center. Williams moderates a five-student panel made up of online students from some of NIU’s fully online graduate programs.
The Online Teaching Symposium is a two-day event hosted May 30-31 by the Center for Innovative Teaching and Learning. Faculty and staff present virtually May 30 following the keynote address, “Trauma-Aware Online Teaching” by Karen Costa, author of “99 Tips for Creating Simple and Sustainable Educational Videos.”
Day two of the symposium includes the student panel, Birds of a Feather table conversations and a panel of recipients of the Excellence in Online Teaching Award. More information and registration.
Online Teaching Symposium call for proposals.
The Online Teaching Symposium is a two-day, multimodal event celebrating our outstanding online faculty and instructors. Proposals are now being accepted for virtual sessions on Tuesday, May 30.
We’re looking for NIU faculty and staff to share their own experience teaching online at the symposium. The proposal requirements are brief and informal, so no need to stress over the perfect title or abstract. The submission deadline is Friday, April 14. The College of Engineering and Engineering Technology will host Senior Design Day on Friday May 5 at the NIU Convocation Center from noon to 4 p.m. Over 150 students will showcase their innovative engineering and technology senior projects and designs. Financial Month End Close
The month of April is closing for all financial reporting activity at noon Tuesday, May 9, 2023. Journals not posted at that time will go into May business. Submit April journals before end of business Monday, May 8. Final April reports are scheduled to be available Wednesday, May 10, 2023. In addition, May reports are scheduled to be available Thursday, May 11, 2023. These and other important dates can be found on the Controller's Office website.
Year-end Financial Deadlines
The following deadlines have been established to allow adequate processing time to successfully close FY23 and prepare financial statements to meet the University’s reporting deadline with the State of Illinois Comptroller’s Office. By not doing so, exposes the University to audit findings related to improper year-end cutoff and inadequate control over good/services provided prior to approved contract/purchase order, among others. The cooperation of all departments is needed to keep to this schedule to ensure a successful close process.
- June 16, 2023: Purchase requisitions and change orders for new FY23 requirements under $100,000 due to Procurement Services & Contract Management. Also,
- Consider competition requirements for small purchases ($20,000 to $100,000, based on the aggregate amount). Submit competition or waiver document with requisition.
- Requests that have associated contracts should be submitted as soon as Department/Divisions have them to allow sufficient processing time to meet this cutoff date.
- Note: For FY23 requests greater than $100,000, please contact a Procurement representative (abridges3@niu.edu) for guidance.
- June 19, 2023: Year-end cutoff for posting all journal activity for transactions occurring prior to June from all fund sources due to General Ledger
- June 30, 2023: All FY23 cash and/or checks received must be deposited at the Bursar’s Office in Swen 235, and must be made in accordance with Bursar’s Office procedures
- July 14, 2023: All FY23 approved invoices, check requests, and travel reimbursement requests due to Accounts Payable Services
- July 14, 2023:Year-end cutoff for posting all journal activity for transactions occurring in June from all fund sources due to General Ledger.
It is very important to note that transactions required to be processed in FY23 must be received by the requested due dates (do not hold FY23 documents even if the deadline has passed).

NIU preparing for 2024 Higher Learning Commission reaccreditation visit
|
As part of the university’s regular reaccreditation process, NIU will host a site visit in March of 2024 from the Higher Learning Commission (HLC).
The HLC is NIU’s regional accrediting body. Fundamental to the university’s operations, HLC accreditation is necessary to continue NIU’s eligibility for federal funding and high standing in the public eye. Read more.

Huskies inspired by study abroad experience in Barbados

A trip to Barbados forever changed the perspective of several Huskies.
Students Jaelyn Logan, Romeo Bell and Mitraya Williams recently took part in a spring break program designed for students to examine issues of diversity, equity and inclusion and the history of the Island of Barbados and the significant role it played under British rule in the Trans-Atlantic Slave Trade.
