Celebrating Earth Month with Meatless Mondays.
Huskies, join us in celebrating Earth Month with Meatless Mondays. Every Monday throughout the month of April, Neptune and Patterson Dining will alternate serving plant-based options from the traditional line during both lunch and dinner service. Together, we can work toward a more sustainable future.
Update to multifactor authentication.
On Thursday, March 30, 2023, DoIT enables number matching for multifactor authentication (MFA) for all NIU user accounts who use the Microsoft Authenticator application. This is a minor change that adds an extra security layer to MFA challenges. Instead of users being presented with an Approve/Deny option in their app, they will be presented with a number they will need to enter.
This feature is in place to counteract MFA fatigue attacks. MFA fatigue attacks are when a bad actor attempts to sign in using compromised credentials and tricks the compromised user into approving the MFA requests by repeatedly sending push notifications to their authenticator app. Eventually, the compromised user may feel “fatigued” from the requests and approve the request to get rid of the constant notifications.
More information regarding MFA Number Matching can be found in this Microsoft article.
Internal selection process required for DOE Energy Earthshots pre-applications.
The Division of Research and Innovation Partnerships (RIPS) seeks internal notice of planned pre-applications to the Department of Energy (DOE) Science Foundations for Energy Earthshots solicitation. DOE caps the number of pre-applications NIU may submit at three, necessitating an internal selection process to ensure NIU does not exceed the limit. Only pre-applications that are approved for submission based on the internal selection process will be submitted to DOE.
Individuals who intend to submit a pre-application in response to the Energy Earthshots solicitation must notify Kellie Dyslin via email at kdyslin@niu.edu as soon as possible and no later than April 17, 2023. Submitters should enter “DOE Energy Earthshots internal selection” in the email subject line and must include the below information in the body of the email or as an attachment:
- Lead PI name.
- Lead institution name.
- Collaborating individuals and institutions.
- A brief synopsis (half page or less) of the project to be proposed and the DOE program to which the pre-application will be submitted.
Individuals who plan to submit to the Energy Earthshots program should review the complete information on the internal selection process posted on the RIPS limited submission website.

Registration is now open for Summer in the Arts 2023!
Campers will live the life of an artist on campus at NIU this summer exploring creativity, building community, meeting mentors and making lifelong friends.
Fine arts summer camps at NIU fill quickly — early registration is advised. NIU staff, faculty, students and returning campers receive a camp fee discount, and “early bird” registrants save an additional $50. Eligible families may apply for need-based scholarship assistance through May 1. Please call 815-753-1450 for more information or visit our website for details and to register.
Operating Staff Council (OSC) call for candidates.
The NIU Operating Staff Council (OSC) has five vacancies to fill this year. All five vacancies will be for three-year terms beginning July 1, 2023.
You must:
- Be a civil service employee in a status position.
- Have you supervisor's permission.
- Serve approximately five hours each month for council meetings and subcommittee participation.
The council meets at 9 a.m. on the first Thursday of every month, 12 months a year. Currently we are meeting in dual format: on Teams and in person at Altgeld Hall.
Interested in running? Complete the candidate data sheet available on the OSC website by 11:59 p.m. Friday, April 14, 2023. Questions regarding elections? Contact Jim Slagstad, vice president of Operating Staff Council at jslagstad@niu.edu
Supportive Professional Staff (SPS) Council call for candidates.
The Supportive Professional Staff Council (SPS) is seeking nominations for representatives and alternates to the SPS Council. Current members whose terms expire in 2023 (and others who have previously served) are eligible to run again. Alternates whose terms have not expired are eligible to run for representative seats. See your current representatives and alternates on the council website. You, or an SPS colleague you know, can help contribute to the mission of this council. Please consider participating in this nomination process.
Make your nominations electronically by visiting go.niu.edu/spscnominations. You can log in to the nomination ballot containing a list of employees in your division who are eligible for nomination. Per an SPS Council bylaw change, employees who are SPS as of July 1, 2023 are eligible for consideration even if their status changes to civil service during Fiscal Year 2024 – they would be able to finish out the fiscal year of service to council if they are still interested.
Nominations may be submitted until 5 p.m. Friday, April 4. If you encounter any problems in this process, please feel free to contact Frances Mitchell at fmitchell@niu.edu.
Thank you very much for participating in this important shared governance process.

Faculty and staff invited to provide feedback on RRD Print Services.
NIU’s print partner, RRD, is asking faculty and staff to complete a brief survey by Monday, April 3, so they can gain a better understanding of the campus community’s print needs.
Print products previously produced by NIU’s Division of Information Technology are now being completed by RRD. RRD’s user-friendly CustomPoint website is being utilized for ordering print projects, while the development of additional custom products is on-going to provide users a simplified ordering experience. If you do not see the product you're looking for, submit an "Ad Hoc" request, and RRD will provide you with a custom quote. RRD would love to print your next project.
Questions? Please contact NIUsupport@rrd.com.

Year-end Financial Deadlines
The following deadlines have been established to allow adequate processing time to successfully close FY23 and prepare financial statements to meet the University’s reporting deadline with the State of Illinois Comptroller’s Office. By not doing so, exposes the University to audit findings related to improper year-end cutoff and inadequate control over good/services provided prior to approved contract/purchase order, among others. The cooperation of all departments is needed to keep to this schedule to ensure a successful close process.
- June 16, 2023: Purchase requisitions and change orders for new FY23 requirements under $100,000 due to Procurement Services & Contract Management. Also,
- Consider competition requirements for small purchases ($20,000 to $100,000, based on the aggregate amount). Submit competition or waiver document with requisition.
- Requests that have associated contracts should be submitted as soon as Department/Divisions have them to allow sufficient processing time to meet this cutoff date.
- Note: For FY23 requests greater than $100,000, please contact a Procurement representative (abridges3@niu.edu) for guidance.
- June 19, 2023: Year-end cutoff for posting all journal activity for transactions occurring prior to June from all fund sources due to General Ledger
- June 30, 2023: All FY23 cash and/or checks received must be deposited at the Bursar’s Office in Swen 235, and must be made in accordance with Bursar’s Office procedures
- July 14, 2023: All FY23 approved invoices, check requests, and travel reimbursement requests due to Accounts Payable Services
- July 14, 2023:Year-end cutoff for posting all journal activity for transactions occurring in June from all fund sources due to General Ledger.
It is very important to note that transactions required to be processed in FY23 must be received by the requested due dates (do not hold FY23 documents even if the deadline has passed).
Should you have any questions about the year-end process or initiating FY24 requisitions, please contact the Controller’s Office at (ControllerOffice@niu.edu) or Procurement Services and Contract Management at abridges3@niu.edu for further assistance. Thank you in advance for your cooperation and assistance to ensure a successful close out of FY23.
Financial Month End Close
The month of March is closing for all financial reporting activity at noon Monday, April 10, 2023. Journals not posted at that time will go into April business. Submit March journals before end of business Friday, April 7. Final March reports are scheduled to be available Tuesday, April 11, 2023. In addition, April reports are scheduled to be available Wednesday, April 12, 2023. These and other important dates can be found on the Controller's Office website.
