Preliminary Review

The preliminary review of the system usually involves the following:

  • Analyze the current system and how it is complying with existing environmental regulations, meeting organizational goals, etc. - Such an analysis can be conducted using the systems approach and the system’s processes, inputs, outputs, etc., can be studied in an environmental context.
  • Identify any problems, compliance violations, or complaints - This can be done by interviewing employees at various levels of the organizations and reviewing reports and compliance documents.
  • Document the existing organizational structure – A chart of the organizational structure may already exist and this can be checked to make sure if it is correct, and the communication and reporting lines are valid. Otherwise, a revised chart of the existing organizational structure may have to be developed.
  • Review existing policies and procedures – The current policies and procedures of the organization with respect to environmental and related issues should be reviewed and documented, if necessary. Incorrect, inaccessible or improperly documented policies and procedures are often the source of some problems in organizations, and so this is an important step.

The preliminary review tasks should be assigned to individual team members and be given appropriate durations and deadlines to complete the tasks and report back to the team leader. During the preliminary reviews, the team may have to meet periodically to monitor the progress and share information with the team members.
