Document Control

Documents play a very important role in EMS. Documents can include procedures, forms, organizational charts, data sheets, responsibility matrices, interoffice communication, reports, etc. Everyone involved in the EMS effort within an organization should have the necessary documents and use them consistently. The document control process includes:

  • locating documents for easy access,
  • establishing procedures for managing documents in different media (paper, electronic),
  • reviewing and refining documents periodically,
  • removing and archiving obsolete documents,
  • assigning responsibilities for document approval and control, and
  • seeking recommendations for simplifying and improving documents whenever possible.

Document control is also crucial for conducting environmental audit and monitoring continuous improvement.
