Records Procedures

The document control procedures established in the “Do step” have to be “checked” in this step to show that the organization is actually applying EMS as planned. The records procedures should check who prepares each record, who has access to the records, how long a record should be kept, when should a record be disposed off, etc. Sample of records to maintain in the system may include:

  • training records
  • accident and incident reports
  • aspects and impacts documentation
  • monitoring and equipment calibration records
  • progress reports on targets and objectives
  • applicable laws and regulations
  • problem reports and corrective actions.

Records procedures should be an integral part of the EMS and taken seriously. Without records procedures, it will be difficult for the EMS team to communicate and share information on an ongoing basis.
