Art Museum annual “Art to Lend” selection period now open.

The Northern Illinois University Art Museum’s annual “Art to Lend” 2024 selection period is now open for faculty and staff on campus. This annual service allows individuals and departments to enhance their private offices and the administrative areas of our university by renting original works of art. Artwork enriches the university’s welcoming nature for students, faculty and staff as well as brightens the experience for public visitors and provides daily enjoyment in the workplace. Each work meant for public display was carefully selected by museum staff for its broad appeal and its ability to be on loan for up to eight years.

Travel Voucher update:  New allowance maximums for lodging and meal per diem.

Effective Feb. 1, 2024, allowance maximums for lodging and meal per diem should be verified through the GSA per diem rates in accordance with 80 Ill. Adm. Code 3000.400, 3000.500, 3000.510 and Appendix A. You may search per diems by selecting the state and city, or by ZIP code to find the applicable rates. Per diem on travel days is still based on time of travel using the quarter system per HETCB allowances. This information may be found on the Controller's Office website under the

“Meals — Employees in Travel Status” section. The General Services Administration (GSA) may modify these rates periodically throughout federal fiscal year 2024. When using the GSA meal per diem rate tables, please do not include the “incidental expenses” in amounts submitted for reimbursement. The policy for day-trip meal allowances for reimbursement of breakfast and/or dinner has not changed. If you have any questions, please contact Accounts Payable Services at 815-753-1514 or email AccountsPayableSrvs@niu.edu.

Fiscal Year 2024 due dates for accounting transactions.

We are preparing to wrap up another fiscal year here at NIU and it is important that we finalize the university’s FY 2024 financial statements in a timely manner. Please ensure that all FY 2024 transactions for your department are properly classified and submitted to the Accounting Office by the deadlines listed below:

  • June 18, 2024: Year-end cutoff for posting all journal activity occurring prior to June from all fund sources due to General Ledger at JournalEntries@niu.edu.
  • June 28, 2024: All FY 2024 cash and/or checks received must be deposited at the Bursar’s Office in Swen Parson 235, and must be made in accordance with Bursar’s Office policy
  • July 15, 2024: All FY 2024 approved invoices, check requests and travel reimbursement requests due to Accounts Payable Services at AccountsPayableSrvs@niu.edu or Lowden Hall 208.
  • July 15, 2024: Year-end cutoff for posting all journal activity occurring in June from all fund sources due to General Ledger at JournalEntries@niu.edu.

It is very important to note that transactions required to be processed in FY 2024 must be received by the requested due dates (do not hold FY 2024 documents even if the deadline has passed).

Please review all transactions and balances in applicable cost centers, paying particular attention to appropriate cut-off for transactions occurring during the months of June and July. Note that all goods and services received prior to June 30, 2024, must be recorded as an expenditure or accrued as a liability in the current fiscal year. Goods and services received after June 30, 2024, must be recorded as an expenditure in Fiscal Year 2025. University sales and services performed prior to June 30, 2024, must be recorded as revenue in the current fiscal year. University sales or services to be performed after June 30, 2024, must be recorded as revenue in FY 2025. If you have any questions concerning how transactions should be recorded, please contact an Accounting Office representative.

We appreciate your full cooperation as we work to ensure a successful close out of FY 2024.  Should you have any questions about the year-end process, please email the Controller’s Office at ControllerOffice@niu.edu for assistance.
