Employee and Department Responsibilities

To ensure a smooth exit when an employee departs from the university, both the department and employee have specific responsibilities.

Employee Responsibilities

Upon notification of a departure the employee should complete the following steps.

    Notification Paperwork

    Faculty, supportive professional staff (SPS) and graduate assistants should submit a letter of resignation or retirement to their department.

    Civil service employees should go to HRS to complete a separation form.

    Submit Final Benefit/Time Reporting

    Faculty, supportive professional staff (SPS) and civil service should submit their final benefit usage report or salaried non-exempt hourly time sheet to the Payroll Office.

    Complete Exit Checklist

    We recommended that employees complete the exit checklist (XLS) and submit it to their department. The checklist is provided to assist in the exit process.

Department Responsibilities

Upon notification of a departure the department should complete the following steps.

    Notification Paperwork

    Submit a request to vacate in PeopleAdmin indicating termination or retirement to Human Resource Services for:

    • Faculty
    • Supportive professional staff
    • Extra help departing on a date earlier than their appointment end date

    Submit a Personnel Action Form (PAF) (XLS) indicating termination or retirement to Human Resource Services for:

    • Students departing on a date earlier than their appointment end date
    • Graduate assistants departing on a date earlier than their appointment end date

    Notify civil service employees to go to Human Resource Services to complete a separation form.

    Assist with Benefit/Time Reporting

    Assist all employees who are departing in submitting their final benefit usage report or hourly time sheets to the Payroll Office.

    Provide Exit Checklist

    It is recommended that the exit checklist (XLS) be provided to all employees to assist them in the exit process.
