VI.3. Student Records
Student records are protected by the Family Educational Rights and Privacy Act (FERPA) of 1974 as amended in 1998. They are available only to university officials with a legitimate, university-related educational or administrative interest and need to review an education record in order to fulfill their professional responsibility; this includes faculty members who may access student records only on a “need-to-know” basis. It is the responsibility of the department chair to safeguard the integrity and the confidentiality of student information available within the department, both computerized and print material. Hard copies of student records should be stored in a double-lock environment such as locked file cabinets in a locked office space. Without the student’s prior written consent, this information cannot be shared by the chair, faculty, or staff with individuals outside of the university, including a student’s parents, or with anyone inside NIU who does not have authorization to view such records.
