Faculty Exam Procedures

Exam Accommodation Form

  1. Complete the faculty portion of the Accommodations Letter request. Be sure you sign it.
  2. Note any special instructions (i.e. open book, notes allowed, calculator allowed, etc.)
  3. Return the form to student. You may want to make a copy for your records. The student is responsible for returning the completed form to CAAR a minimum of two working days prior to the exam date and four working days in advance for evening exams.

Exam scheduling

  • All students are expected to take exams in a time frame that overlaps that of the class. Exceptions will be made ONLY with instructor permission. 
  • If possible, week-end and evening exams should be scheduled during CAAR office hours, M-F 8:00-4:30. When necessary, CAAR will proctor evening exams, but they must be completed no later than 9:00 p.m.
  • Due to extended time accommodations, students often begin exams before the regular class time, but are required to remain at CAAR until the regular exam starting time. Students will not be allowed to leave early unless instructor permission has been indicated on the exam accommodation form.

Exam Pick-up or Delivery

Instructors MUST make exams available to CAAR a minimum of two full working days before the exam date if it needs to be put in adapted format (i.e. Braille, large print, tape recorded, etc.) and a minimum of one full working day if not. Call CAAR if other arrangements need to be made.

CAAR employees will pick up and deliver exams Monday through Friday 8:30-9:30am, 1:00-2:00pm, 3:30-4:30pm. In-person pick-up must be at least one working day prior to the exam date.

Completed Exam Return

  • CAAR staff will return the exam after completion during the next scheduled pick-up/delivery time fram.
  • Exams will usually be delivered to the department office. All returned exams must be signed for, so CAAR will not put exams under an instructor's door.
  • Faculty/instructors can choose to pick up the exam from the CAAR office.
